[AsiaTEFL 2026] Pre-Conference Reminder: Travel Planning & Presentation Details

Dear Participants,

Welcome to the 24th AsiaTEFL International Conference at Xi'an Jiaotong University! As the conference dates are fast approaching, we would like to share a few friendly reminders to ensure you have a smooth and pleasant experience:

1.Book Your Accommodation Early

Late May is a peak season for tourism and conventions in Xi'an, and hotel rooms near the conference venue will be in high demand. If you have not yet booked your accommodation, we strongly advise you to finalize your travel plans and reserve your room as soon as possible to avoid any inconvenience. You may refer to https://www.asiatefl2026.org/accommodations.html.

Please note: Dequan Hotel (德泉酒店 - 西安交通大学兴庆宫地铁站店), which was previously recommended, has recently temporarily closed for renovation and can no longer be booked. Please choose an alternative hotel for your stay.

2.Bring Your Presentation on a USB Drive

If you are giving a Paper Presentation, please save your final presentation file on a USB flash drive and bring it to the venue. We kindly ask that you arrive at your designated room before your session begins to copy your file onto the on-site computer.

3. PPT Version and Formatting Guidelines

• Format: To ensure compatibility with the computers provided at the venue, please save your presentation in the standard .pptx format.

• Aspect Ratio: We recommend using a 16:9 aspect ratio for the best display on the projector screens.

• Media Files: If your presentation includes video or audio files, please make sure to save them in the same folder as your PPT file and transfer the entire folder to your USB drive. This will prevent any broken links or playback issues during your presentation.

• Fonts: If you are using special fonts, we suggest embedding them when saving the file, or having a PDF version ready as a backup in case the on-site computer does not support your specific fonts.
